Choosing AI Tools Without Overbuying: A Guide for Small Teams
By Andrea G. Markum ·

Start from the workflow
Write down the exact steps the tool should handle before you look at any product pages. A clear workflow makes it obvious which features matter and which are noise.
Ask six questions first
Does it connect to tools you already use? Who will own it? What happens to client data? Can you export your information? What does it cost at your real volume? How will you know it worked?
Prefer features you already pay for
Many scheduling, email, and CRM tools now include AI features. Turning on something you already own is often cheaper and easier than adding a new subscription.
Set a review date
Put a 30-day check on the calendar the day you subscribe. If the tool is not saving measurable time by then, pause or cancel it.
